Administrative Approvals
Administrators can oversee the educational legitimacy of the requests and ensure that there’s money (in the right place) to cover the costs. Color-coded lists and grids make finding and sorting Field Trips easy, and the whole Approval Process is supplemented by color-coded status levels so that Field Trips requiring attention at given levels are obvious. And Calendars help to see when Field Trips are being requested and manage when they are scheduled.

Transportation Department is in the Driver’s Seat
When the Transportation Department gives the thumbs-up, the Field Trip is a Go! Driver and Bus Assignments are made by transportation staff, and Transfinder notifies you of schedule conflicts (so that you don’t wind up scheduling someone to be at two places at the same time!)

Powerful Reporting
The system has the capability to generate dozens of reports. The Field Trip Detail report includes all of the information that the driver needs, like pick-up and drop-off times and locations, driving directions, numbers of students and adults, phone numbers and notes about the Field Trip. A special Driver’s Form provides a convenient place to log various arrival and departure times and odometer readings, and the expenses encountered during the course of the journey.

When the mileage, time, and expense information is entered into Transfinder, the system automatically computes the total cost of the Field Trip and presents that information to Transportation personnel for review and modification if needed. Cost Reports break down and total the various expenses incurred for each Field Trip.

Mileage rates, hourly pay rates and overtime rates, and associated expenses like meals, parking, and tolls – are all part of the overall Field Trip cost that is managed by Transfinder. System options give you the flexibility to make the billing as complex as you need it to be or simple as you want it to be. Then built-in Billing Reports summarize costs by account code or by school, department, or activity, and provide you with fiscal analysis tools that rule!
